Set up Salesforce for repeatable event delivery
Structure Salesforce so every event follows the same path from initial proposal through post-event review.
- Create or select a Real Event record for each event.
- Use a consistent lifecycle such as Proposed, Evaluation, Approved, Planning, Resourcing, Promotion, Operational Readiness, In Execution, Wrap-Up, and Closed.
- Link each Real Event to a PM+ project that contains milestones, tasks, dates, dependencies, and owners.
- Add core event fields including event date, venue, event type, owner, target audience, primary goal, expected attendance, broadcast requirement, and ticketing requirement.
- Relate the event to campaigns, products, vendors, participants, staff assignments, schedules, venue zones, incidents, and financial results.

Standardize events with PM+ templates
Translate event standard operating procedures into reusable PM+ project templates so every event begins with a complete, consistent structure.
- Create a PM+ template for each major event type, such as a conference, festival, sporting event, promotional activation, media event, hospitality event, or virtual broadcast.
- Add standard milestones for planning, venue, staffing, vendors, participant operations, ticketing or registration, marketing, production, attendee experience, execution, and closeout.
- Add detailed tasks beneath each milestone, including descriptions, required evidence, owners, relative dates, and dependencies.
- Assign tasks to event roles rather than named users wherever possible.
- Save and version the template so future events inherit the latest approved process.

Start planning new events automatically
Use Salesforce Flow and Apex to convert an approved Real Event into a fully structured PM+ project.
Apply the correct PM+ template
- Decide how new events are created: manually, through an intake screen flow, from a partner request, or from another integrated system.
- Require at least the event name, event type, start date, venue, owner, ticketing requirement, and broadcast requirement.
- Trigger automation when the Real Event status changes to Approved.
- Select the PM+ template using event type and operating requirements.
- Create the PM+ project, clone milestones and tasks, preserve predecessor relationships, calculate dates, and assign role-based owners.
- Link all generated records back to the Real Event and update the event status to Planning.

Resource and staff your events
Use event-role assignments, staffing requirements, availability workflows, and automation to build the event team.
- Add staffing requirements to the Real Event or related staffing plan, including department, role, headcount, shift, travel, lodging, and credential type.
- Define who is eligible for each assignment using role, location, skills, availability, and prior experience.
- When the event moves to Resourcing, generate staffing requests and suggested assignees.
- Send availability requests and record Yes, Maybe, or No responses.
- Create travel, lodging, onboarding, credential, and briefing tasks after confirmation.
- Escalate critical roles that remain unfilled.

- Create an Event Vendor record for each vendor selected for the event.
- Track service category, contract status, value, deposits, insurance, arrival time, venue location, and primary contacts.
- Create PM+ tasks for quotes, contract execution, insurance verification, deposits, final counts, delivery, check-in, and final payment.
- Store executed agreements and confirmation documents in Salesforce Files.
- Keep vendor communication associated with the Account, Event Vendor, or related task.
- Generate a post-event vendor evaluation and fulfillment summary.
Generate campaigns and assets for promotion
Use Real Events, Salesforce Campaigns, marketing asset records, and AI-assisted drafting to create consistent event promotion while keeping people responsible for review and approval.
- Create a promotion milestone with tasks for the campaign brief, landing page, email sequence, social posts, partner enablement, press materials, and paid media.
- Capture target audience, value proposition, key event moments, featured participants or partners, and primary calls to action.
- Trigger content planning when the event moves to Promotion or when Ready for Content is set to Yes.
- Generate first drafts and asset checklists using approved event data.
- Assign review tasks to marketing, legal, sponsors, and the event owner as required.
- Store final URLs, files, approvals, and publishing dates on related marketing asset records.

Run the event with mobile-ready operations
Give on-site teams a single source of truth for the run of show, current assignments, contacts, incidents, and critical event information.
- Create time-based PM+ tasks or schedule items for setup, registration, inspections, doors or gates, sessions, ceremonies, headline activities, egress, and teardown.
- Place venue contacts, communication channels, maps, Wi-Fi details, equipment notes, and escalation instructions at the top of the event command-center view.
- When the event changes to In Execution, activate the run-of-show experience and prioritize mobile tasks.
- Show each person only the assignments relevant to their role, shift, location, or department.
- Capture completion, delays, issues, decisions, and incidents directly against the event.

Calculate a readiness score from weighted critical tasks, but allow unresolved blockers to override the percentage.

Collect feedback and report on performance
Close the loop after each event so leadership can measure results and operating teams can improve the next template.
- When the event moves to Wrap-Up, assign the reporting milestone to the event owner and calculate due dates from the event end date.
- Collect internal retrospective notes, vendor feedback, attendee surveys, participant feedback, sponsor fulfillment, incidents, financial results, ticket or registration sales, merchandise sales, and streaming performance.
- Generate an executive-ready summary covering attendance, revenue, media, audience, operational wins, risks, incidents, and recommendations.
- Compare actual completion dates and operating outcomes against the PM+ template.
- Identify tasks that were frequently late, missing, unnecessary, or assigned to the wrong role.
- Update SOPs and publish a new version of the PM+ template.
- Move the event to Closed while retaining the complete project as a reference example.
